Description:
Southampton Union Free School District is seeking a detail-oriented and highly organized Purchasing Agent (Provisional) to support the District’s purchasing, procurement, and business operations. The successful candidate will assist with purchasing activities, bid and quote processes, vendor management, contract tracking, inventory records, and financial documentation while ensuring compliance with applicable laws, regulations, and District policies.

Important: This is a provisional civil service appointment. The successful candidate will be required to take and pass the Suffolk County Civil Service examination for Purchasing Agent when it is offered and must be reachable on the resulting eligible list to be considered for permanent appointment.

Job Qualifications

Responsibilities

  • Review and process purchase requisitions for accuracy and budget availability prior to issuing purchase orders
  • Maintain organized electronic and paper files for purchasing records, vendor information, contracts, bids, quotes, and related Business Office documentation
  • Perform routine accounting and clerical duties, including data entry, account reconciliation, and preparation of financial reports
  • Assist departments in obtaining quotes for goods and services
  • Track expenditures and prepare expenditure reports for administrative review
  • Maintain fixed asset inventory records and assist with documentation related to surplus property disposition
  • Maintain purchasing records to support compliance with applicable laws, regulations, District policies, and SAVE background check requirements for contractors
  • Assist with the preparation and organization of Requests for Proposals (RFPs) and Requests for Quotations (RFQs)
  • Maintain records of State, county, BOCES, and cooperative purchasing contracts and assist staff in identifying available purchasing options
  • Provide administrative support for the bid process, including preparing specifications, advertisements, bid documents, and organizing bids
  • Support cooperative purchasing activities, including maintaining participation records, price lists, and related files
  • Provide general clerical and accounting support under the direction of the Assistant Superintendent for Business

Qualifications

  • Graduation from high school or possession of a high school equivalency diploma required
  • Associate’s degree in Business Administration, Accounting, Finance, Public Administration, or a related field preferred
  • Experience in purchasing, procurement, accounting, finance, or governmental operations preferred
  • Working knowledge of purchasing procedures, bid processes, and public procurement practices preferred.
  • Proficiency with Microsoft Office applications, particularly Excel
  • Strong organizational, communication, and recordkeeping skills
  • Ability to manage multiple projects and deadlines with accuracy and attention to detail

Preferred Qualifications

  • Experience working in a school district, municipality, or other public sector organization
  • Familiarity with New York State purchasing regulations and General Municipal Law
  • Experience with financial management, accounting, or purchasing software systems
